WHP annual planning: Structured planning with the health calendar
Why does an annual plan ensure the lasting impact of WHP?
Many are familiar with the typical pattern: back courses in January, a flu vaccination appointment in October — and little happens in between. Activities are organized reactively, whenever there is time or budget available. The result: employees do not perceive WHP as a continuous offering, but as sporadic one-off events.
A structured annual plan fundamentally changes this. When measures are distributed throughout the year and thematically coordinated, a rhythm emerges. Employees know what to expect — and this can increase participation. At the same time, you can plan resources proactively: book external providers in advance, allow for communication lead times, and allocate budgets cleanly across quarters. For management, you also have a clear document that makes WHP visible as a strategic investment — not as a cost factor without a plan.
How can you use seasonal health events as a hook?
The year offers over 300 established health events: World Health Day (April 7), Back Health Day (March 15), World Mental Health Day (October 10), Colorectal Cancer Month (March), German Sleep Day (June 21) — to name just a few. These occasions are not just PR stunts. They serve two practical functions.
First, they give your WHP external legitimacy: if a campaign runs on World Heart Day, you do not have to justify it internally — the occasion is well-known and recognized. Second, seasonal factors already determine which topics are currently relevant. Back and movement topics resonate in spring, when many want to become active again after winter. Stress management and recovery are especially effective after summer and before the year-end sprint. Nutrition topics are strong in January. You go with the natural flow of attention instead of against it.
The health calendar in EasyBGM lists these occasions with date, category, and a direct link to assign measures. You do not have to reinvent the wheel — just select what fits your workforce.
How many activities per quarter are realistic?
The most common mistake in annual planning is overambition: too many measures at once, too little lead time, too much coordination effort. Realistically, 3–4 activities per quarter are feasible — that equals one impulse per month with a quieter week as a buffer.
Plan one anchor topic per quarter (e.g. Q1: Movement & Back, Q2: Mental Health, Q3: Nutrition & Energy, Q4: Resilience & Year-End) and select 2–3 additional individual measures underneath. This creates depth instead of breadth. For GKV-funded measures according to § 20b (German law): These often need to be coordinated with the funding body 8–12 weeks in advance — so plan them consciously into Q4 of the previous year or at the latest into the Q1 kickoff. In the EasyBGM calendar, many occasions suggest ideas for suitable measures, and through a filter with reminders, EasyBGM notifies you in time before the date — with the lead time that the occasion requires. How the program remains effective over the years is described in the guide Anchoring WHP sustainably.
How to put it in place
- 1Open the seasonal calendar: In EasyBGM, open the "Calendar" section and switch to the annual overview. You'll see the predefined health occasions with date and category. Filter by area (movement, mental health, nutrition, prevention) to get an initial overview of what's relevant to your organization.
- 2Select and prioritize occasions: Mark 10–15 occasions that fit your workforce and budget. Aim for a balanced distribution across all four quarters. Note for which measures it is worth talking to your health insurer – insurers support WHP projects under Section 20b SGB V (German law), but there is no entitlement to it.
- 3Assign measures: Link each selected occasion to a concrete measure from the EasyBGM measure library, or create your own. For each measure, define who is responsible, the target group (e.g., shift workers, remote workers, managers), and the rough format (workshop, digital activity, information campaign).
- 4Set up reminders and lead times: Activate automatic reminders for each measure. By default, EasyBGM sets two reminders: 8 weeks before the date (for external bookings and GKV coordination) and 2 weeks before the date (for internal communication and invitations). Adjust the lead time for GKV-funded measures to at least 10–12 weeks.
- 5Present the executive annual plan: Summarize the finished annual plan for leadership – with a quarterly overview, measures, estimated costs, target groups, and the measures you want to discuss with your health insurer. This gives you a template for your next leadership meeting.
