Micro-breaks via reminder: Movement that reminds itself

Setting-based prevention that works in everyday WHP: microbreaks via reminders interrupt long periods of sitting – systematically, voluntarily, and in a way that can be documented.

Why do breaks fail even though everyone wants them?

Most people know that regular short interruptions are beneficial. But during focused work, this knowledge disappears immediately. Hours pass without standing up, and by evening, your neck and back are stiff. A gentle reminder every 90 minutes replaces willpower with a system – and systems almost always beat good intentions.

Are two minutes enough for a noticeable effect?

You don't need a workout. Standing up, rolling your shoulders, stretching once, briefly looking out the window – that's enough to loosen your muscles and clear your head. Regularity is what matters, not intensity. Many report that especially the short break from the screen noticeably improves concentration afterwards.

How is the reminder received if it's voluntary?

It's important that the reminder invites rather than commands. Introduced as an opt-in that everyone can activate themselves, it is used surprisingly consistently – because it doesn't interrupt, but reminds you of something good. Making it mandatory achieves the opposite. This measure is ideal for screen-heavy teams and costs virtually nothing. A good addition is the Best Practice Micropause Challenge (21 days).

How to put it in place

  1. 1
Choose the reminder channel: recurring calendar appointment, chat/Teams reminder or app – something that triggers automatically
  2. 2
Set the rhythm: every 90 minutes is a good default for screen work
  3. 3
Provide 3–5 simple 2-minute exercises (neck, shoulders, back, wrists, eyes)
  4. 4
Make it clear: breaks are allowed and welcome – present them not as laziness but as protecting performance
  5. 5
Activate the reminder for interested people and share the exercise instructions
  6. 6
Stress that it is voluntary: anyone who does not want it can switch the reminder off at any time
  7. 7
As a manager, take part visibly yourself – it removes the inhibition about getting up in the office
  8. 8
Let the reminders run – automation is the core, no manual effort needed
  9. 9
Swap the exercises from time to time so it does not become monotonous
  10. 10
Normalise short active breaks in the team (e.g. a joint stretch break after a long meeting)
  11. 11
Ask: are the breaks being used? Does the rhythm disturb?
  12. 12
Adjust the frequency if needed (for some, twice a day is enough)
  13. 13
Watch the effect: fewer complaints about tension, more movement in everyday life
